Booking Terms and Conditions
Before making a booking, you must fully understand and accept the terms and conditions outlined below, which detail our respective rights and responsibilities. By asking us to confirm your booking, you indicate that you have had the opportunity to read and agree to these conditions. Clicking on “I Agree – Continue with Booking Procedure” signifies that a legally binding contract has been made.
Agreement Overview
Your agreement is with Alpine Club of Himalaya Australia, By booking a trip with us in writing, by telephone or in person, you agree to these Booking Conditions, which form the entire agreement between you and us. Your booking will be accepted based on these terms.
Booking Confirmation and Responsibility
The services provided will be listed on your booking confirmation invoice. It is your responsibility to verify that the information on the invoice/confirmation is accurate upon receipt. Any discrepancies must be reported to Alpine Club of Himalaya Australia immediately.
Deposit and Payment Terms
To confirm your reservation, we require a deposit of 20% together with the booking form to Alpine Club of Himalaya Australia, LLC (unless otherwise specified). If you book less than 30 days before departure, full payment for all program costs, including airfare, is due immediately. The deposit must be paid within 7 days from the date the invoice is issued . The full balance is due 45 days before the start date.
Payment Methods
Deposits and payments must be made via Direct Deposit, Mint or Credit Card.
Cancellation and Refund Policy
Deposits and payments are non-refundable 90 days before departure (from Kathmandu). If you cancel a trip, any deposits or payments made, minus nonrefundable items (e.g., hotel or airline fees), can be applied to a future trip.
Change of Reservation
You are responsible for ensuring that information provided to the Tour Operator is accurate and up-to-date. Any changes to your name on any booking are subject to Alpine Club of Himalaya’s approval. Any changes to a booking depend on availability and are subject to the Tour Operator’s approval and these Terms. Any extra costs incurred for making the change will be charged to you along with an administrative fee.
Itinerary Changes and Cancellations
Due to the nature of trekking, weather, and touring in remote and high-altitude places, Alpine Club of Himalaya Australia reserves the right to cancel the trek or change the itinerary. If this occurs, an alternative excursion of a similar standard will be offered.
Responsibility for Personal Belongings
While we take great care of your luggage and personal belongings while in our possession, Alpine Club of Himalaya Australia is not responsible for any loss, damage, or accident to any luggage and property when our representative is not present.
Flexibility and Risks
The nature of these excursions requires flexibility. Itineraries and objectives are aims rather than contractual obligations. Participation requires accepting this flexibility and the potential for delays or changes due to various circumstances beyond our control. You will be liable for any such expenses, which may be recoverable through your insurance depending on the circumstances. Ensure your insurance covers these terms, including potential travel to high altitudes.
Authority of the Leader
Participants must follow the leader’s authority. The leader’s decisions on activity, itinerary, and objectives are final. If the leader deems your behaviour or physical condition detrimental to the group’s safety, welfare, and well-being, you may be asked to leave the tour without a refund.
Medical and Travel Responsibilities
Medical vaccinations, visa procurements (excluding Tibet/China visa), and other prior arrangements are your responsibility. Alpine Club of Himalaya Australia assumes no responsibility if these are not completed in time for departure. You must have insurance covering repatriation and helicopter rescue. Carry proof of insurance throughout the trip.
Passports and Visas
Ensure your passport is valid for at least 6 months past the trip end date. Obtaining the correct visas is your responsibility. We are not liable if you are denied entry due to lack of proper visas. No refunds will be given for unused services or if you quit the trip voluntarily after it has started. If you are forced to quit involuntarily, Alpine Club of Himalaya Australia reserves the right to provide a refund.
Unused Services
No reimbursements will be provided for any unused accommodations, transportation, sightseeing, meals, or services.
Potential Risks
Participation entails accepting potential risks and dangers, including death. All participants must read and accept these terms and conditions before the trip and provide a signed copy to Alpine Club of Himalaya Australia.
Insurance Disclaimer
In extreme cases, your insurance must cover emergency evacuations without prior approval from your insurance carrier. Alpine Club of Himalaya Australia may make decisions for your safety without waiting for insurance clearance and will not be liable for any expenditures incurred.
Flights General Conditions
Alpine Club of Himalaya will arrange international flights from Nepal to Bhutan and Tibet and/or vice versa on behalf of clients. These airline tickets are strictly non-changeable and non-refundable. Once issued, no modifications, cancellations, or refunds will be permitted under any circumstances. Clients are responsible for ensuring their travel dates and personal details are correct at the time of booking. We strongly recommend purchasing comprehensive travel insurance to cover any unforeseen circumstances.
Acceptance of Terms
By signing the booking/reservation form, you and anyone you book for agree to these terms and conditions and accept the associated risks. This agreement acts as a risk release and assurance for you and your heirs.
